QR code repair posters: how to get tenants to actually use them

The short version

  • Put the poster where tenants look when something goes wrong: by the boiler, under the sink or on the inside of the front door.
  • Send the link as well, so it's saved in their messages.
  • When a tenant texts you about a repair, reply with the link. After once or twice, they'll use it first.

Where to put the poster

Think about where your tenant is standing when they notice a problem. Good places are:

The poster prints on plain white paper and shows the address, so tenants know it's for their home. A clear plastic sleeve stops it getting damaged.

What to send tenants

Send the link once, in a message they'll keep. In UnitCare, press Send the link to tenants on the property page and choose WhatsApp, text or email. You could add something like:

Hi, from now on please report any repairs using this link. Add photos if you can. It goes straight to me and you can see when it's being fixed. In an emergency, like a gas smell, call the emergency number first.

For new tenancies, include the link in your welcome pack and point out the poster when you hand over the keys.

Moving tenants away from texts

Most tenants will keep texting at first. That's normal. Reply kindly with the link: "Thanks for letting me know. Could you pop it through here with a photo, so it's logged properly?" After once or twice, most tenants use the link first because they can see what's happening without chasing you.
