Check-in and check-out inspections your tenant signs on their phone
The short version
- Walk round with your phone: for each room pick Good, Fair or Poor, add a note and take photos.
- Press Send to tenant to sign. They look through it, add any comments and sign on screen.
- Once signed it's locked, and you can print it or save it as a PDF.
Why bother
When a tenancy ends, deposit disputes come down to one question: what was the property like at the start? A dated record with photos, agreed by the tenant, is the strongest answer you can have. More on deposit disputes.
Doing the inspection
- Open the property and press New under Inspections.
- Choose Check-in, Check-out or Routine, and add the tenant's name and email.
- You start with the usual rooms. Rename, remove or add rooms to match the property. A check-out starts with the same rooms as the last inspection, so the two match up.
- For each room, pick the condition, write a short note and take photos. Close-ups of anything already damaged are the most useful.
- Add meter readings and the keys you handed over.
Everything saves as you go, so you can stop and come back.
Getting it signed
Press Send to tenant to sign. Your tenant gets an email with a link. They can look through every room and photo, write a comment if they disagree with anything, and sign with their finger. You get an alert when they've signed.
Once it's signed, nobody can change it. If something was missed, start a new inspection.
The report
Press View report / save as PDF for a dated report with every room, photo, meter reading, the tenant's signature and their comments. Keep it with the tenancy paperwork.
